GRAND DANCE RULES AND POLICIES

1. REGISTRATION AND ENROLLMENT

  • Registration is open on a first-come, first-served basis and is not confirmed until payment is received.

  • Classes require a minimum enrollment to proceed. Grand Dance reserves the right to cancel or combine classes due to insufficient enrollment, in which case students will receive full credit or refund for cancelled classes.

  • Students may be placed on a waitlist if a class is full. We will notify you if a spot becomes available.

  • All registration forms must be completed accurately, including emergency contact information and any medical conditions or injuries that instructors should be aware of.

2. PAYMENT AND TUITION

Payment Options:

  • Full Season Payment: Pay tuition in full at registration and receive a 10% discount.

  • Monthly Payments: Payments are due on the 1st of each month and processed via automatic payment (credit card or bank withdrawal).

Accepted Payment Methods:

  • Credit card (Visa/MasterCard)

  • Cash (in-person only)

  • E-transfer

Late Payment Fees:

  • A $50 late fee will be applied to all accounts with outstanding balances by the 7th of the month.

  • If payment is not received by the 10th of the month, the credit card on file will be automatically charged for the full account balance including late fees.

  • A $25 fee applies to all declined credit card transactions.

  • A $50 fee applies to all returned checks. After two returned checks, remaining balance must be paid in full via cash, credit card, or certified check.

  • Students with outstanding balances will not be permitted to attend class until payment is made.

3. CANCELLATION POLICY

Private Lessons:

  • 24 hours advance notice is required to cancel or reschedule a private lesson without penalty.

  • Cancellations made with less than 24 hours notice will result in forfeiture of the lesson or a charge equal to one lesson.

Group Classes:

  • 2-4 hours advance notice is required to cancel group class attendance if you wish to be eligible for makeup classes.

  • Late cancellations (less than 2 hours notice) may not be eligible for makeup classes depending on the class type.

Studio Cancellations:

  • Grand Am reserves the right to cancel classes due to instructor illness, weather emergencies, or other unforeseen circumstances. Students will be notified as soon as possible and will receive credit or makeup options.

4. MISSED CLASS POLICY

  • Students are expected to attend all scheduled classes.

  • Advance notification is required if you will miss a class. Please contact the studio before the class begins.

  • The studio is not responsible for missed notices or announcements due to student absence. Please check with reception or our online portal for any information you may have missed.

  • Students who miss class without notification may not be eligible for makeup classes.

5. RESCHEDULING POLICY

  • Private lessons may be rescheduled with 24-48 hours advance notice.

  • Rescheduling requests should be submitted via email, phone, or through the student portal.

  • Frequent rescheduling may result in loss of preferred time slots.

  • Same-day rescheduling is not permitted except in cases of documented emergencies.

6. MAKEUP CLASSES

  • Makeup classes are available for missed group classes with advance notification.

  • Makeup classes must be used within 30 days of the missed class date.

  • Makeup classes are subject to availability and must be at an appropriate level for the student.

  • Students may not use makeup classes during the last two weeks of the semester.

  • Unused makeup classes cannot be refunded or carried over to the next season without purchasing a new package.

  • Makeup classes for private lessons must be scheduled within the same billing cycle when possible.

7. REFUND AND CREDIT POLICY

  • Tuition is non-refundable once the dance season has begun.

  • Credits may be issued for future use in exceptional circumstances (medical emergency with documentation, family relocation) at the discretion of studio management.

  • Credits for unused class packages may roll over to new packages with minimum purchase requirements.

  • No refunds or credits will be issued for missed classes due to student absence, vacation, or failure to attend.

  • Students who withdraw must provide written notice at least 7 days before the start of the next billing cycle to avoid being charged.

8. WITHDRAWAL AND TERMINATION

  • Students wishing to withdraw must provide written notice (email acceptable) at least 7 days before the next billing cycle begins.

  • No refunds will be issued for partial months or semesters.

  • Grand Am reserves the right to dismiss students who violate studio policies, demonstrate disrespectful behavior, or fail to make payments.

  • Dismissed students will not receive refunds for remaining tuition.

9. STUDIO RENTAL POLICY

Approved Uses:

  • Personal practice and rehearsal for current Grand Dance Studio students

  • Private coaching sessions with approved instructors

  • Small group rehearsals

  • Recreational dance activities

Prohibited Uses:

  • Teaching unauthorized classes or workshops

  • Operating competing dance instruction services

  • Events that conflict with studio values or safety standards

Rental Terms:

  • Rental rates: $85-$150 per hour

  • Minimum booking: 1 hour

  • Cancellations require one week advance notice for full refund

  • Security deposit is required for large bookings

  • Renters are responsible for leaving the studio in the same condition as found

  • Music must be kept at reasonable volumes

  • No food or beverages (except water in sealed containers) in studio spaces

10. ATTENDANCE AND TARDINESS

  • Students should arrive 10-15 minutes before class to change shoes and prepare.

  • Students arriving more than 15 minutes late will not be admitted to class for safety reasons.

  • Late arrivals disrupt the class and may cause injury if students have not properly warmed up.

  • Students who arrive late may reschedule for the same day if space is available, or use a makeup class.

  • Students must be picked up within 15 minutes after class ends. Grand Dance Studio cannot provide extended supervision.

11. DRESS CODE AND ATTIRE

General Requirements:

  • All students must wear appropriate dance attire that allows instructors to clearly see body lines and posture.

  • Hair must be pulled back and secured away from the face at all times.

  • No jewelry may be worn during class for safety reasons (small stud earrings may be permitted at instructor discretion).

  • No dangling accessories, watches, or excessive jewelry.

Ballroom/Latin Classes:

  • Form-fitting dance attire (dance pants, leggings, fitted tops)

  • Proper ballroom or Latin dance shoes with suede or leather soles

  • No street shoes or sneakers permitted on dance floors

Practice/Recreational Classes:

  • Comfortable dance attire that allows freedom of movement

  • Appropriate dance footwear for the style being practiced

New Students:

  • New students have a 2-week grace period to acquire proper attire.

  • Students who repeatedly arrive without proper attire after the grace period will not be permitted to participate in class.

Street Shoes Policy:

  • Absolutely NO street shoes are permitted in any dance studio.

  • All dancers, parents, and visitors must remove outdoor footwear upon entering the studio and place them in designated shoe storage areas.

  • This policy is in effect year-round for floor protection and hygiene.

12. EQUIPMENT USE AND STUDIO ETIQUETTE

Studio Respect:

  • Treat all studio spaces with respect and care.

  • Do not touch mirrors or write on any surfaces.

  • Students may not operate sound systems or adjust studio equipment without permission.

  • Place all garbage in trash receptacles.

  • Keep change rooms, lobby, and washrooms clean and tidy.

  • Personal belongings should be stored in designated areas, not left on the floor.

Food and Beverage:

  • Only water in sealed plastic bottles is permitted in dance studios.

  • No food, juice, soda, or other beverages allowed in studios or change rooms.

  • Food and drinks should be consumed only in designated lobby or lunch room areas.

  • Nut-free policy: Grand Dance Studio enforces a strict peanut and nut-free policy to protect students with allergies.

Technology:

  • Cell phones and personal devices are not permitted in class.

  • Phones must be silenced and stored in bags during class time.

  • Recording of classes is prohibited without express written permission from studio management.

Studio Access:

  • Students are not permitted in dance studios without an instructor present for safety reasons.

  • Parents and siblings are not allowed in studios while classes are in progress.

  • Washrooms are not to be used as change rooms.

13. STUDENT CODE OF CONDUCT

All students are expected to:

  • Show respect to instructors, staff, fellow students, and parents at all times.

  • Follow all classroom rules set by instructors.

  • Demonstrate appropriate behavior and language at all times.

  • Arrive prepared for class with proper attire and a positive attitude.

  • Maintain focus and attention during class.

  • Support and encourage fellow dancers.

Zero Tolerance Policy:

  • Grand Dance Studio has zero tolerance for bullying, discrimination, exclusion, foul language, or disruptive behavior.

  • Students engaging in such behavior will be dismissed from class and may face permanent removal from the studio.

Respect for Equipment:

  • Use of Studio and Equipment is a privilege.

  • Students demonstrating unsafe or distracting behavior with equipment will lose the privilege for the remainder of class.

14. PARENT/GUARDIAN CODE OF CONDUCT

Parents and guardians are expected to:

  • Treat all staff, students, and families with respect and courtesy.

  • Avoid disrespectful language or behavior under any circumstances.

  • Respect instructor decisions regarding level placements and student progress.

  • Schedule appointments to discuss concerns rather than approaching instructors between classes.

  • Refrain from criticizing students or staff members.

  • Supervise young children at all times in lobby and waiting areas.

  • Ensure children are picked up promptly after class.

  • Not enter studios while classes are in progress.

Constructive Feedback:

  • Grand Dance Studio welcomes constructive feedback when delivered respectfully.

  • Please schedule a private appointment with the studio director to discuss any concerns.

Violation of Code:

  • Violation of the Parent Code of Conduct will result in immediate removal from the studio premises.

  • Grand Dance Studio reserves the right to refuse service to maintain a positive environment for all students.

15. HEALTH AND SAFETY

Illness Policy:

  • Students must not attend class if experiencing new or worsening illness symptoms.

  • Self-screening for illness is required before coming to the studio.

  • If symptoms are known and non-contagious (e.g., chronic headache), attendance is permitted.

Injury Notification:

  • Students with injuries or medical conditions must inform instructors in advance or indicate on registration forms.

  • Instructors will modify exercises as needed for injured students.

  • Students must provide medical clearance to return to full activity after serious injury.

Emergency Procedures:

  • Emergency contact information must be current and accurate.

  • In case of medical emergency, staff will contact emergency services and parents/guardians immediately.

  • Basic first aid is available on-site.

Facility Safety:

  • Anyone found defacing studio property will be dismissed immediately and held financially accountable for repairs.

  • Report any safety hazards to staff immediately.

16. LIABILITY WAIVER

By participating in Grand Dance Studio activities, all students and parents/guardians acknowledge and agree to:

  • Acknowledgment of Risk: Dance activities involve inherent risks of injury.

  • Assumption of Risk: Participants assume all risks associated with dance participation.

  • Release of Liability: Grand Dance Studio, its owners, employees, contractors, and subcontractors are not liable for injuries, damages, or losses that may occur during participation in classes, performances, or events.

  • Emergency Medical Authorization: Staff may seek emergency medical treatment if parents/guardians cannot be reached.

  • Health Declaration: Participants confirm they are physically fit to participate in dance activities.

A signed liability waiver must be on file before students begin classes.

17. PHOTO AND VIDEO RELEASE

By signing the studio waiver, you grant Grand Dance Studio permission to:

  • Use photographs and videos taken by studio staff for advertising and promotional purposes.

  • Feature student images on the website, social media, and marketing materials.

  • Distribute recital and performance videos to families.

If you do not wish to grant photo/video release, you must submit a written opt-out request to studio management.

18. CLASS VIEWING POLICY

  • Only dancers and instructors are permitted in studios during class time.

  • Parents and visitors may observe from designated viewing areas where available.

  • Online viewing options may be provided for certain classes.

  • For safety and focus, we ask that parents do not approach instructors between classes.

19. LOST AND STOLEN PROPERTY

  • Grand Dance Studio is not responsible for any lost, stolen, or damaged personal property.

  • Students should leave valuables at home.

  • Label all personal items (shoes, bags, water bottles) with student names.

  • Lost and found items are held for 30 days, after which they will be donated.

20. SEASONAL SCHEDULE AND CLOSURES

  • The dance season runs from [Insert months, e.g., September through June].

  • The studio is closed on statutory holidays: [List holidays].

  • In case of weather emergencies or government-mandated closures, classes will move online or be rescheduled.

  • Grand Dance Studio communicates via email newsletters, website updates, social media, and lobby bulletin boards.

  • Students and parents are responsible for staying current on studio policies, news, and events.

  • Please ensure your email address is current in your student profile.
